Policy and Procedure for the Termination of a Student

Introduction

  1. This policy defines the procedure that must be followed for a student to be terminated in the following circumstances:
  2. Academic grounds (including unsatisfactory attendance)
  3. Non-Academic Grounds (financial, assumed withdrawal)
  4. A student’s registration may be terminated at any stage of the term, on academic grounds, or non-academic grounds, including grounds of discipline or where the student is in debt to Great Brook Academy.
  5. A student who has their registration terminated will not be permitted to participate in any teaching, learning or assessment activities (including examinations) effective from the date of termination
  6. Students who have been terminated must submit a new application for a new course. No student in debt to Great Brook Academy will be re-admitted or considered for a new course.  Great Brook Academy reserves the right to not re-admit students who have had their registrations previously terminated.

Termination of Registration of a Student on Academic Grounds

  1. Great Brook Academy reserves the right to terminate the registration of a student on academic grounds other than failure in an assessment; any such termination must be made in accordance with the provisions of this policy.
  2. Academic grounds, other than failure in an assessment, for consideration of termination of registration of a student include the following: unsatisfactory academic progress, unsatisfactory attendance at prescribed lectures, seminars, discussions, practical sessions or other prescribed activities as defined in the course syllabus, failure to complete or submit required work by due dates or to satisfactory standards, failure to attend for prescribed tests or examinations, failure to comply with examination requirements or regulations.
  3. In the case of persistent failure to meet academic requirements during the course, the Instructor may issue a written warning of failure to meet academic requirements. If no response or improvement the Instructor may recommend the termination of registration of a student on academic grounds.
  4. When a decision is made to terminate a student’s registration, the Office of Academic Affairs will formally write to the student to inform them of the decision and will withdraw the student from the course.

Termination of Registration on Non-Academic Grounds

Financial Grounds

  1. Great Brook Academy reserves the right to terminate the registration of any student who is in payment plan debt to Great Brook Academy and has not met their payment plan obligations as outlined in the payment plan.
  2. Students will be given reasonable opportunity to make arrangements to pay any necessary debt or to establish arrangements to have debt paid. Failure to meet specified deadlines will result in students’ registration being terminated.
  3. The registration of any student who is in payment plan debt to Great Brook Academy may be terminated provided that:
  • The student has been informed by the Office of Academic Affairs in writing of the payment due and has been given reasonable notice of the date by which payment was due; and
  • The student has been informed in writing that failure to pay the outstanding debt would lead to the termination of registration of the student; and
  • The student has failed to pay the sum due by the due date.
  1. When a student’s registration is terminated based on a payment plan debt, the student will be formally notified in writing.

Assumed Withdrawal

  1. Great Brook Academy may also assume withdrawal of a student and terminate the registration of a course where it is recognized that a student has ceased to engage with the course. This can be in cases where students do not attend classes and do not respond to communications from Great Brook Academy.
  2. Students who are terminated based on assumed withdrawal who wish to return will need to re-apply for the course in another term.
